When archiving, some movements dated on or before the selected date are not archived. Each movement is checked before archiving and any that fall into one or more of the categories below are retained in the current records:
- It is currently Matched to a record in the Imported Movements.
- Untraced Quantity is non-zero.
- Unredeemed On or Unredeemed Off is non-zero.
- It is ticked to be emailed but has not been sent (ie, does not have an email date/time). Checked for both the sending and receiving trading partners.
- It is ticked to be rejected/corrected but has not been sent (ie, does not have a rejected/corrected date/time).
- One or more linked movements (rejections/reversals/corrections) have not been archived.
- There is one or more linked imported movements (rejections/reversals/corrections).
- It is ticked for exporting to a supplier (Export is ticked) but has not been sent (ie, a Batch is not assigned). Not checked for slave data files.
- Unless cancelled, it is a Transfer that has not been reconciled (ie, a Bill is not assigned). Not checked for data files that have one or more bill records – these are considered 'slave' data files.
- It is ticked for exporting to a master file (Slave Export is ticked) but has not been sent (ie, a Slave Batch is not assigned).
- It is incomplete.
Export Batches, Bills and Sessions are only archived once all movements assigned to them have been archived. Bills also need to reconciled. Stocktakes are independent of movements so any of these dated on or before the archive date are archived.
